How to Rate Your Business

Rate each statement based on where your business stands today:

  • 2 — Ready: This is established and consistently followed.
  • 1 — In Progress: Some groundwork is complete, but gaps remain.
  • 0 — Not Yet: This has not been addressed.
  • N/A — Not Applicable: This does not apply to the AI task being considered.

Items marked are critical. A strong total score should not override an unresolved critical item.

1. Technical Readiness

Our internet, computers, network, backups, and security systems are reliable and maintained.

Strong passwords, multi-factor authentication, antivirus, and firewall protections are used where appropriate.

Employees receive basic training on phishing, cybersecurity, and safe technology use.

The information needed for the proposed AI task is digital, organized, reasonably accurate, and accessible in a usable format.

We understand the privacy, regulatory, contractual, and vendor requirements related to the information the AI tool may access.

We use approved AI tools through business-managed accounts, with employee access limited appropriately.

2. AI and Organizational Readiness

We have identified a specific business problem or task that AI may help improve.

The task is repeatable, has clear steps, and follows a documented process.

The task is low risk and appropriate for a limited first AI pilot.

A knowledgeable process owner can evaluate whether the AI-assisted results are correct.

We have defined what an acceptable result looks like and who must review or approve the output.

We know the task's current time, cost, or performance level and can measure whether an AI pilot improves it.

Someone is responsible for championing AI adoption internally.

Employees have adequate time, training, and support to learn the new process.

Before automating, integrating, or expanding the task, we have tested it manually with AI and confirmed that it can meet our quality, risk, and review requirements.

3. Marketing and Content Readiness

Complete this section when AI will be used for marketing data analysis, sales, customer communication, or content creation.

We have a written description of our ideal customer or primary customer personas.

We have a documented positioning statement that explains what we offer, the problem it solves, and why customers should choose us.

We have a documented brand voice, including examples of what we should and should not sound like.

We have current, approved source material for our services or products, offers, FAQs, claims, and supporting proof points.

The reporting and customer-information sources relevant to the task are active and accessible, such as analytics, email reporting, CRM data, call transcripts, etc.

We have clear rules for which customer information, testimonials, recordings, images, and other materials may be used with AI.

A knowledgeable person is responsible for reviewing and approving AI-assisted marketing before it is published or used.
